How to Create, Apply, and Manage Custom Fields in Patsnap Analytics

Custom fields let you add your own organization and tagging structure to patent records.
They are useful when you need to track information that does not exist natively in the patent record.
Common examples include:
Project relevance
Responsible business unit
Technology classification
Internal score or rank
Without custom fields, this information often gets scattered across spreadsheets or separate systems.
Using custom fields keeps review data inside Patsnap, making workflows more organized and easier to analyze. -
Custom fields are created within a workspace.
Go to the Tagging tab at the top of the workspace.
Select the option to create a custom field.
This opens the setup screen where you can define the field for your workflow. -
Start by giving the field a name.
Use a name that matches what you want to track, such as:
Technology category
Review status
My score
My rank
Next, choose the field type.
Some of the available field types include:
Text: for notes or comments
Numeric: for scoring
Date: for deadlines or key dates
Dropdown: for predefined choices
Dropdown tree: for hierarchical categories
In the example, a dropdown menu is selected because it allows custom options to be created. -
If you choose a dropdown field, create the nodes/options you want to select from.
Example used in the video: a traffic light system with:
Red
Yellow
Green
Decide the scope of tagging:
Global: the tag may be visible in other workspaces where the record exists
Workspace specific: the tag stays visible only in the current workspace
When everything looks right, click Submit to create the custom field. -
After creation, the custom field appears in your workspace.
Open the custom field box in a record row and double-click it.
A pop-up appears where you can choose the appropriate tag/value for that record.
Repeat this across records to classify them using your custom categories.
This makes it faster to review and organize patents as you work through the dataset. -
Once records are tagged, the custom field becomes available in the refinement/filter bar.
You can filter the dataset by your custom values.
This helps you quickly narrow down to records in a specific category.
It is especially useful for large datasets, where you need to segment records efficiently.
Filtering by custom fields supports faster, more targeted analysis. -
Return to the Tagging tab at the top of the workspace.
Open custom field management.
From there, you can view all existing custom fields.
For each field, you can choose to:
Edit it
Delete it -
